Within TotalMD there is a Collections Wizard that will enable you to capture ledger entries to send to collections, when appropriate. TotalMD partners with BillFlash as a vendor to send your collections patients information. If you would like a BillFlash demo, please contact us and we will set this up for you.
Go to Activities>Collections:
You will then see the Collections screen:
You will then enter the parameters that you wish the system to search to find the accounts that you want to send to collections. Then the system will bring up the accounts that fit those parameters.
You can choose which patients you wish to send to collections by checking and unchecking the box to the left:
Then you will click Send to Collections to the left:
You will get a prompt making sure you want to send these to Collections:
Once you click Yes, a prompt telling you the process is complete will come up on your screen:
You will then have a report ready to send to BillFlash. When you go to the Ledger, you will see a note in the chart noting that this charge has been sent to collections. It is light orange as it is a Medium severity case:
At this point, you can double click on the line item and see the collections note at the bottom left:
As you can see, you can remove the Collections note or move the severity up or down. If we move it to High, the color changes to red.
You can run a report in the Reports tab that will show you your Collections:
You will receive a box where you can make choices in the report prior to running it:
Once you hit OK you will see your report:
This will enable you to follow up on your collections at any point of time.
