When you begin to use TotalMD, you will need to set up all of the providers that you will be billing for in the system. Here is a link to the YouTube showing how to do this and the instructions are below.
To Set Up Providers in TotalMD, you will first go to Setup and then to Practice Information>Set Up Providers:
From within this section you will want to set up your Providers – doctors, Pas, nurse practitioners and medical assistants.
To add a Provider, you will click New Provider to the left.
You will want to add last name, first name and credentials to the provider. The street address will default to the practice address but can be changed. Email and telephone numbers will be added as well as checking whether the provider is Medicare participating, if appropriate. To print in the Signature Box on the CMS 1500, you can choose:
for each provider which shows up vertically next to their name in the Scheduler. This is different than the appointment type color, which shows up as a bar above the appointment.
The Eligibility ID is for if you are doing real-time eligibility through a clearinghouse:
This is a routing number that enables that process once you sign up for that with TotalMD. This is handled by tech support for you.
If you have signed up for TotalMD direct, this email address will be populated by tech support:
If this provider becomes inactive with your practice, you can choose that option. If you wish to simply hide this provider on the schedule, that can be chosen as well.
Under the Work Schedule tab, you can make a specific schedule for this provider. Those are the only hours that will be available on the schedule for the specific provider, without receiving a popup message:
On the IDs tab, you can populate such numbers needed for billing as TIN, NPI and taxonomy:
This is the holding area for all ID numbers for a given provider.
The Extra tab simply is a repository for information you want to track for a provider:
We also have a Pins tab:
If a particular insurance company requires a pin from a provider, this is where that information is found.
You will then go to the left and Save Changes:
