When you first begin to use TotalMD, you will need to set up your users and their security roles in the system. Here is a link to a YouTube with instructions, which are also below.
To set up new users in TotalMD, you will go to the Setup screen and the Set Up Users area:
When you first log in, you will typically not have any users, however, as you continue to login, you will see something similar to this:
The User is the Login ID that the user will use, the Name is the User’s name and the Level refers to the accesses this user has to the system. The highest level of security should only be given to the administrator of the account. The second level might go to someone such as the Office Manager. To create a new user, go to New User on the left:
The screen you will see next allows you to enter the Login ID, the User’s Name and a Password for this user. It also allows you to assign a security level. We will go into setting up these security levels later in this document. The Password can be a combination of letters and/or numbers and is case-sensitive.
The other boxes on this screen allows for logins to add-on features to TotalMD. These sections would be filled out for you by technical support. You will then Save Changes on the left:
You will then see your new user in the User List:
Setting Up Security Roles
Starting at the Setup Screen, you will go to Set Up Security:
This is the basic screen for Security Setup:
Each section with a plus sign will give you a selection of choices such as this:
Under this section, you can add the options to add new service codes (CPT/HCPCS codes), who can edit them, who can delete them and who can view them. It is important that these securities are appropriate for the users that are assigned to each role. After you have customized your settings, you are ready to set up your users with the levels you wish them to have.
