When billing certain codes, you must include your CLIA number on your claims. There are two places in TotalMD that need to be changed in order for that number to appear in your claims. Here is a link to a YouTube and the instructions are below.
Provider ID Tab
First you will go to the Provider by going to Lists>Provider List:
You will then see a list of all of your Providers:
After choosing your provider, you will go to the ID tab, where you will see the blank for the CLIA number:
After entering the CLIA number, you will Save Changes to the left:
Type of Service Code
The second step is to change the type of service code in the Service Code List:
You will then find the code that needs the CLIA number attached in your list of codes and double-click or choose Edit Code to the left:
You will then do the drop down for Type:
You can then choose Inside Lab or Outside Lab to indicate that this is a laboratory charge and then Save Changes to the left:
Adding to Existing Claim
If you have already sent the claim and received a rejection or denial indicating the need for a CLIA number, you will need to go to the ledger where the code has been used where you will remove just the code from the line in the ledger:
You will then re-enter the code and Save Transaction to the left:
The claim can now be rebilled.
You will want to go to the Claims screen, choose the claim that has been updated and Edit Claim to the left:
You will then update the claim:
This will bring in the new information that you have added.
