TotalMD Online allows you to access your data and the TotalMD software over the internet. This has the benefit of relieving you of the technical responsibility, provides included cloud backup service, and access from anywhere you have an internet connection. The following goes over how to connect reliably from a Windows computer. For other devices, check our article on Connecting to TotalMD Online with an Apple device.
Step 1:
For best results, we recommend using Internet Explorer for ease of use. This may seem like a strange request as even Microsoft has moved onto more modern software but Internet Explorer supports a RemoteApp plugin that will save you significant time and energy. If you're on Windows 10, Edge is the default browser but a search from the start menu will lead you to the traditional "Internet Explorer". The first time you visit the page on Internet Explorer, you should get a question at the bottom of your screen asking if you want Internet Explorer to allow the use of a plugin. Say "Allow".
That said, any browser will allow you to login, but it will involve downloading the RemoteApp file, running it, and signing in with your credentials a second time before getting into the software.
After opening your internet browser, navigate to https://www.totalmdonline.com. This is the screen that should appear:
In the section that says Domain\user name: enter SAAS\ (notice the direction of the backslash - that is a common source of confusion) followed by the username given to you by TotalMD. Please be aware that this is the Cloud Login, NOT the TotalMD User Login. That comes later.
If you are on an unsecure public computer, choose "This is a public or shared computer". Otherwise, "This is a private computer" will allow you to keep certain login settings in the computer's memory and save you some trouble.
After entering in your domain\username, enter your password and click Sign In. If your browser asks if you want to save your password, that is up to you. Please be aware that saving the password will be convenient but will make your computer less secure and may lead to a risk of HIPAA violations.
Note: Each username can only be signed in once at a time. If someone logs in with a user that is already signed in, you will disconnect the first user. We recommend assigning specific usernames to individual staff or to specific workstations. TotalMD support does not keep track of these assignments, so please keep attentive records.
Step 2:
Once logged in, you'll see a few icons (which may vary depending on your package). TotalMD Practice Management is your primary destination. Click once on TotalMD. If you're using Internet Explorer and the RemoteApp plugin, this should immediately open a few dialog boxes to approve the connection, followed by the TotalMD User Login. If you're using a different browser, the web site will download a small program. You'll want to run that program. You'll get another screen asking for your login which will be the same you entered on the TotalMDonline.com page. After that you'll see the dialog screens and the TotalMD User Login. This login is one created most likely by your office manager.
Note: We strongly encourage the use of User Logins as it provides an extra layer of protection on the cloud service. While we pride ourselves in keeping our servers secure, if something were to go wrong and a User Login is not required, anyone with access to your user permissions can see and modify your data.
Step 3:
Select the icon (with a single left-click) for TotalMD Practice Management or TotalMD EHR. This will differ based on the package that was purchased. The following dialog box may appear:
If you select the checkbox next to "Don't ask me again for remote connections from this publisher" before selecting Connect, it will default to connect every time.
From here, the TotalMD software will successfully launch. If you run into an additional login box, these are your internal TotalMD credentials which are likely provided by your office manager.
